Terms & Conditions

Please make sure you read all information below. It's for your safety, enjoyment - and so that you're clear of procedures should things go awry. Scroll down for terms and conditions for bespoke and group bookings too.

Booking fees & refunds

We use a system called Beyonk that adds a small fee to your booking.  We do not receive any of this money as it is their administration fee for processing your booking.  Please note, any refund received from us will not include this amount. Instead we will forward you the ticket price only.


If you DO NOT wish to pay fees, you are welcome to pay for an event by direct debit. Please contact Alison to arrange.

Travel insurance

We highly recommend you take out travel insurance for our events.


We'll always try to do our best to help you, but sometimes it's best to take out travel insurance. You will need this for any winter events in particular as the weather can be unpredictable.


Make sure it covers you for inclement weather (essential if you've booked on dark sky events), sickness (especially Covid), health (if you have a long-standing health issue), valuable items and operator cancellation (see below for more details). If you've got accommodation and travel booked make sure you're covered for that too. 

For bespoke and group bookings

Please read the information below as these will relate to group and bespoke bookings


For groups (more than 10 people), we'll ask for a 50% deposit to secure your booking - unless agreed otherwise. The balance is payable 2 weeks prior to the event date.


For bespoke bookings (up to 10 people), payment is in full at the time of booking (similar to buying a ticket online).


Bespoke booking cancellations


If we cancel the event, for example, due to event leader sickness, we will try to find another mutually agreeable date. If one is not possible, you'll receive a full refund.


If we cancel a bespoke event due to inclement weather, we will try to find another mutually agreeable date. If one is not possible, you'll receive a full refund. 


If we have to abandon an event part way through due to inclement weather making it unsafe to continue - no refund will be given.


If we cancel the event, for example, due to Force Majeure, there will be no refund. Force Majeure is extremely unusual or unforeseeable circumstances beyond our control which generally affect us all. These can include, for example, war, riot, industrial dispute and/or strikes, civil commotion, disorder, terrorist activity and its consequences, natural or nuclear disaster, malicious damage, fire, flood, epidemic, quarantine restriction or freak, extreme weather conditions which make normal operations impossible to continue or too dangerous.


If you cancel the event within 28 days of the event date, no refund (deposit or full balance) is given as it will be very difficult to fill that slot with other work.

We advise you take out insurance to cover you when you book.

Health issues

We'll ask you to complete an Event Participation form shortly after you have booked.  For experiences that include yoga there will be a health questionnaire to fill in.  We reserve the right to cancel your booking if relevant forms are not received  before the event date. I'm afraid we will not be able to give you a refund either.


All clients should inform Adventures for the Soul and event leader if there has been any change to their medical condition/ illness/disability between booking and the start of the event. All clients should inform the event leader immediately if they feel unwell during the activity.

Safety

You'll be given an equipment list on your booking confirmation. Please bring all items on that list.


For night walks, head torches are essential. If you DON'T bring one - or it isn't in working order - we reserve the right to not take you on the twilight or night walk. No refund will be given.

It is your responsibility to ensure that you and members of your group are fit enough to cope with the activity and the environment associated with your booking. Clients must inform us before booking an event of any medical condition/illness/disability (including medication) if they feel this may affect their ability to enjoy their experience. We'll then be able to discuss your needs and options. (Please also see the note under 'Cancellation due to other circumstances').


It is your responsibility to bring everything on the 'what to bring' list. The weather can change and we need to make sure you'll be kept safe. We reserve the right to not to take you on the event if your clothing/equipment is unsuitable for the time of year/weather conditions. (Please also see the note under 'Cancellation due to other circumstances').

Cancellations

Cancellation due to other circumstances

We reserve the right to refuse your participation if we deem your level of fitness, health or your clothing/equipment is unsuitable for the event, or if you appear to be under the influence of alcohol or drugs or you are otherwise behaving inappropriately. This will be treated as a cancellation by you and no refund will be given in these circumstances.


We will always strive to provide you with the activity stated on your booking confirmation however the very nature of the outdoor environment means that the weather - and other unforeseen circumstances - can often determine that this is not possible. 


We reserve the right to change the route, postpone or cancel an event. This can happen  before the event runs if weather forecasts are deemed unsafe to continue in the normal way. During an event, if weather changes suddenly and unexpectedly, we will take precautionary action to ensure you are safe. In the latter instance, NO refund will be given and will be treated as Force Majeure (see below).


If we cancel our day/evening event due to adverse weather conditions before an event is due to run, we'll postpone it until another date and will try to find a date that all participants are able to make. We will also offer refunds.


If an event (such as a holiday/retreat) where accommodation is included is cancelled due to adverse weather (or other situation beyond our control), we cannot give you a refund. Many accommodation providers will not issue refunds. However it will be looked at on a case by case basis. Please don't rely on that though. If travelling to an event - especially in the depths of winter - please take out travel insurance.


If you've booked an event, and have made your own accommodation arrangements, please make sure you know what the accommodation provider's cancellation policy is before you book. This also includes for any train tickets you may have bought too. Again, we recommend you take out travel insurance to cover you just in case.


Some events require a minimum number of participants in order to be viable. If we cancel the event because of insufficient numbers, you will be offered a full refund, or the offer of an equivalent event on a different date. We are not liable for any other costs incurred by you, and strongly recommend that you take out appropriate holiday/travel insurance.


If cancellation is due to Force Majeure we are unable to fulfil our contract with you, you will not be due compensation. This relates to extremely unusual or unforeseeable circumstances beyond our control which generally affect us all. These can include, for example, war, riot, industrial dispute and/or strikes, civil commotion, disorder, terrorist activity and its consequences, natural or nuclear disaster, malicious damage, fire, flood, epidemic, quarantine restriction or freak, extreme weather conditions which make normal operations impossible to continue or too dangerous. We recommend you take out travel insurance to cover you.


Discrimination against any other client based on their (for example) gender, sexuality, religion, skin colour, ethnic origin, country of origin is not acceptable on any Adventures for the Soul event (the example is non-exhaustive). Every client has the right to enjoy the experience without fear of discrimination from anybody else. If anyone is causing distress by behaving in a discriminatory manner they will be asked to leave the event and no refund will be issued.


Cancellations and changes by you - including transfers

If you decide to cancel an event, we do not offer refunds - unless we can fill your place. We'll also happily transfer your booking to another date or event (at the same price) if we are given 28 days notice. Please note you can transfer your booking once only. We recommend you take out travel insurance to cover you.


If you decide to cancel a retreat or holiday that includes accommodation, we are beholden to the accommodation provider's policies. Normally the deposit and full balance is non-refundable, but we'll do our best for you. As always, double check what the cancellation policy is for train and bus tickets before you book as well. Please don't rely on the accommodation or transport provider being able to issue refunds however.  We recommend you take out travel insurance to cover you when you book.


If you think cancellation may happen due to a health condition, please speak to insurers first before you book


If you are late for the start of an event you MUST inform the event leader. Contact details and other information is always given a few days before the start of an event. If you are severely delayed we cannot wait indefinitely at the expense of other paying clients and you may have to accept the event won't happen for you and no refund will be given. We will try and be accommodating and offer you a place on another equivalent event, but we cannot guarantee this.


​If you don't show up for the event, this will be taken as a cancellation by you and no refund will be issued.


​If you decide to leave an event part way through, our duty of care to you ceases. I'm afraid we can't offer you a refund in these circumstances. However, we will check to see if you arrived safely.

Responsibility for items

Many of our events are held in more remote locations. Please note, you are responsible for any loss, theft, injury or damage to your own vehicles, their contents fittings or accessories. We recommend you take out travel insurance to cover you.
